Contractors & service businesses

Get the office and field working from the same information.

A job should not depend on someone forwarding a photo, updating a spreadsheet, and remembering to tell the office. Make the important handoffs explicit.

What this could look like

Estimate to job

Move agreed details into a job record without retyping the same information.

Field updates

Capture an agreed status, note, or material log from a supported device.

Customer follow-up

Create reviewable notifications and follow-up tasks at defined stages.

Operational reporting

See outstanding estimates, job stages, and missing administrative details.

Fix the gap, not the entire business at once.

We look for focused tools and connections around your existing estimating, accounting, and scheduling products. Replacing a construction ERP is not the default recommendation.

Agree the minimum information a handoff needs.

When an estimate becomes a job, the office may need the approved scope, customer reference, site details, responsible person, and current stage. Field staff may need a much smaller update form. Decide which changes require office review and which can update the record directly. Capturing fewer useful fields consistently is usually better than designing a form that nobody completes.

Keep job updates attached to the correct record.

Photos, notes, and material logs need a dependable job identifier rather than a name copied from a message. Consider duplicate job names, changes in site contact, and updates made after a job closes. Customer notifications should use agreed milestones and approved information, not automatically forward internal notes or every field update.

Design for the handoff that happens on site.

Device use, connectivity, access permissions, and staff responsibilities shape the scope. Offline use, complex scheduling, or historical data imports need explicit review rather than assumptions.

Do we have to move away from our estimating or accounting tools?

Not by default. A targeted connection or handoff tool may solve the problem without replacing products that already work for your office.

Will field updates work without internet access?

Offline operation is a distinct requirement. Connectivity, devices, storage, and later synchronization need specific design and testing; a browser form should not be assumed to work offline.

Can clients see job progress?

A limited status view or approved notification can be scoped separately from staff notes and internal records. Decide what clients should see and who approves that information.
